Request University-wide Communications in Minerva - Staff Guide

Minerva has a mechanism for sending announcements (but not emails) to University-wide groups of users (for example, all undergraduates - see list of groups below for full list). These announcements appear in the Activity Stream of the recipients.

Staff can log in to the IT website and request an announcement by submitting a Minerva Publicity Request which is automatically assigned to the Digital Education Systems Team for action. Please give at least one week’s notice for a request.

How to request university-wide announcements

  1. Log into the IT website and go to the Minerva Publicity Request Form.
  2. Fill in your User Details
  3. Complete the Announcement Information
    • Heading (to appear in the Activity Stream)
    • Message
    • Sign off (so it is clear they are from a reputable University source and users know how to contact someone or get further information)
    • Target Audience (see list of groups below for full options, please include the ones you one to target)
    • Start Date and Time
    • End Date and Time (the preferred period is one week)
  4. Choose whether you want a copy of your request emailing to you.

Requests for announcements normally require at least one week’s notice. Announcements must not be continually repeated and must adhere to the policy on Minerva communications.

The Digital Education Systems Team control the volume of announcements aimed at University-wide communications groups to ensure communication campaigns are as effective as possible. Sometimes staff may be asked to use alternative communications methods instead.

Requests for new University-wide communications groups will be considered by the Digital Education Systems Team. If agreed, these groups may take several months to implement.
