Staff roles available in Minerva - Staff Guide

There are several staff roles in Minerva with different permissions to control what members of staff can access in each module and organisation.

You can have different roles in each module or organisation. For example, a user with a role of Assistant in one module can have a role of Instructor in another module.

When requesting a staff enrolment, please make sure to include what role is required.

There are other Banner codes, but these all map to one of the four Minerva roles mapped above. Please note that the External Examiner code EXEX is mapped to Builder so is not suitable for staff who are required to view student grades.

How does Minerva display staff enrolments?

Staff with the Instructor role are listed in the Module Staff list above the Details & Actions menu in a module or organisation. This shows the top two Instructors alphabetically by surname. Students can click Show more to see a list of all the Instructors attached to the module. Unless Enrolments are set to hidden then students can see all staff with any of the roles above by clicking on Enrolments in the Details & Actions menu. Recommended roles

For support staff/staff who need full access but are not teaching

Staff who are not teaching, but need full access to modules should be added as Assistants (via Banner). This is because staff with the Instructor role appear prominently to students in the Module Staff list in Minerva module areas. The only functions that cannot be performed by those with the Assistant role are the initial activation of a Minerva Class Team and the creation of new PebblePad assignments and workspaces. For External Examiners

The roles needed for External Examiners will depend on what content the examiner needs access to on Minerva. The table above lists the 4 different role types and their permissions. Please note that the External Examiner code EXEX is mapped to Builder so is not suitable for staff who are required to view student grades.

Which form in Banner is used to update staff enrolments?

Banner form SIAASGN needs to be updated with the relevant Banner code to ensure you have the correct staff role. Once the enrolment is added or updated in Banner it will be reflected in Minerva the next day. Who can add/update staff enrolments in Banner?

The Student Education Service representative within your School. If you don't have one, contact your Banner Super User or refer to the Faculty Learning Technologists contact list for advice.
