Understanding module enrolments in Minerva - Staff Guide
Staff and student access to modules and organisations in Minerva are known as enrolments.
There are 4 staff roles available in Minerva with different permissions to control what members of staff can access in a module and organisation. See Roles in Minerva for more information on each of the roles and the permissions they inherit.
How module enrolments are generated and maintained
Staff enrolments
Staff enrolments must always be added via Banner, this also helps to ensure that staff continue to have access to the module each academic year. The Student Education Service representative within your School can add staff to Banner. If you don’t have one, contact your Banner Super User or refer to the Faculty Learning Technologists contact list for advice.
Once a member of staff is added to a module via Banner, the enrolments are automatically updated to Minerva overnight; the member of staff will be able to access it the next day.
Some circumstances may call for staff to be manually enrolled on modules directly in Minerva, where a Banner enrolment isn’t possible or appropriate . In such cases, staff can be manually enrolled and given student access to a module, see Manually enrol users as students for more information. Manual enrolments take effect immediately once they added. Manual enrolments override Banner enrolments so if you need to change to a staff role later, you will need to request a change. Student enrolments
Module enrolments in Minerva are maintained through the University’s student information system: Banner. Once a student is enrolled onto a module via Banner, the enrolment is automatically updated to Minerva overnight. The student will see the module in their list the next day but will only be able to enter it when the Minerva module is made available to students by module staff (see, Make my module available to students for more information).
Some circumstances may call for students to be manually enrolled on modules directly in Minerva, where a Banner enrolment isn’t possible or appropriate (such as students auditing a module, or accessing new materials as part of a resit exam), please refer to Manually enrol users as students for more information.
